Records Manager deals with the management, protection and maintenance of records belonging to an organisation both physically and electronically. This is due to their role to ensure the arrangement, safety, accessibility and management of information in line with the law, regulations and organisational mandates. Records managers enable transparency, efficiency in operations and informed decisions in different fields. The job description will entail the development and execution of records management structures, policies and procedures that will govern the process of information creation, storage, retrieval, retention and disposal. Records Managers control the entire lifecycle of records, which is the adherence to data protection legislation, privacy regulations and retention policies. They conduct frequent reviews of record-keeping practices to identify risks, gaps and opportunities for improvement.

As much as there is a growing dependence on digital systems, Records Managers have to deal with electronic document and records management systems, with the data being accurate, systems maintained and access controlled. They collaborate with the IT and compliance teams to facilitate digitisation initiatives, system upgrades and secure data storage. The major role is also to train employees on proper record-keeping habits that can ensure uniformity and accountability within the organisation. Records managers are responsible for responding to internal and external information inquiries, auditing and supporting legal actions or regulatory investigations by making sure that records are comprehensive, reasonable and easily accessible. They also create disaster recovery as well as information security plans to prevent loss, damage or unauthorised access to the vital records.

This position will demand good organisational skills, attention to detail and information governance standards. Records Managers should keep pace with the changing legislative changes and technology that influence the management of information. On the whole, Records Managers are an essential figure in the process of information asset protection as well as minimising organisational risk and providing efficient information management as the means of long-term operational and legal integrity.

Records Manager Job Description, Responsibilities, and Education Requirements

Most occupations in this unit group have a level of skill commensurate with a bachelor's degree or higher qualification. At least five years of relevant experience may substitute for the formal qualification. In some instances, relevant experience and/or on-the-job training may be required in addition to the formal qualification.

Tasks include- 

  • Developing record cataloguing, coding and classification systems, and monitoring their use. 
  • Managing the organisation's central records systems. 
  • Analysing the record-keeping needs of organisations and translating these needs into record management systems. 
  • Maintaining computerised and other record management systems and record forms, and advising on their usage. 
  • Controlling access to confidential information and recommending codes of practice and procedures for accessing records. 
  • Training staff in the use of record management systems. 
  • Extracting statistical and other data based on the classification of recorded information. 
  • Assisting with surveys and other research requiring access to recorded information. 
  • Conducting audits to identify missing records and arranging searches to retrieve them.
  • Developing better practices to mitigate the risk associated with poor record-keeping systems.
  • Processing requests under the Freedom of Information legislation.
  • Developing disaster plans to make sure that the organisation has the necessary information to continue functioning.
